Privacy Policy

Last updated: 10 August 2026

Your privacy matters to us. This policy explains what personal data we collect, how we use it, and your rights in relation to it. Please read it carefully.

1. Who We Are

Digital Nine to Five is a purpose-led coaching and digital education business based in England. We provide online coaching programmes and digital products designed to help professionals discover their unique assignment and build income and authority around it.

References to "we", "us", or "our" in this policy refer to Digital Nine to Five. We are the data controller for the personal data described in this policy.

2. What Data We Collect

We collect the following categories of personal data:

Contact and identity data: your name and email address when you submit a contact form, book a discovery call, or purchase a product.

Purchase data: details of the products or programmes you have purchased, including the date and amount of your transaction. We do not store your payment card details — these are handled exclusively by Stripe.

Course access data: the email address used to deliver your course passcode and confirm your access to the Discover and Profit course.

Communications data: any messages you send us via our contact form or by email, including enquiries, support requests, and coaching-related correspondence.

Usage data: basic technical data such as your browser type, device, and pages visited, collected via analytics tools to help us improve our website.

3. How We Use Your Data

We use your personal data for the following purposes:

To fulfil your purchase — processing your payment, delivering your course passcode, and providing access to digital products you have bought.

To deliver coaching services — scheduling and conducting your 1:1 coaching sessions and providing WhatsApp support where included in your programme.

To respond to your enquiries — replying to messages submitted via our contact form or sent directly by email.

To send service communications — transactional emails such as your course access email, booking confirmations, and session reminders.

To improve our website and services — using anonymised usage data to understand how visitors interact with our site.

4. Legal Basis for Processing

We process your personal data on the following legal bases under UK GDPR:

Contract: processing is necessary to fulfil your purchase or deliver the coaching programme you have signed up for.

Legitimate interests: we may process data where it is in our legitimate interests to do so, such as responding to enquiries and improving our services, provided those interests are not overridden by your rights.

Legal obligation: where we are required to process data to comply with applicable law.

5. How We Share Your Data

We do not sell your personal data to third parties. We share data only where necessary to deliver our services:

Stripe — our payment processor. Stripe handles all card transactions securely. Their privacy policy is available at stripe.com/gb/privacy.

Email service providers — used to send transactional emails such as your course access email and session confirmations.

Video conferencing platforms — Zoom or Google Meet are used to conduct online coaching sessions. You will be subject to their respective privacy policies when using these platforms.

We may also disclose your data where required by law or to protect our legal rights.

6. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law.

Purchase and transaction records are retained for 7 years in line with HMRC requirements. Coaching correspondence and session notes are retained for the duration of your programme and up to 2 years afterwards. Contact form enquiries are retained for up to 12 months.

7. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

Right of access - you can request a copy of the personal data we hold about you.

Right to rectification - you can ask us to correct inaccurate or incomplete data.

Right to erasure - you can ask us to delete your data in certain circumstances.

Right to restrict processing - you can ask us to limit how we use your data.

Right to data portability - you can request your data in a structured, machine-readable format.

Right to object - you can object to processing based on legitimate interests.

To exercise any of these rights, please contact us via the contact form on our website. We will respond within 30 days.

8. Cookies

Our website uses cookies to support essential functionality and, where you have consented, to analyse how visitors use the site. Essential cookies are necessary for the site to function and cannot be disabled.

You can manage your cookie preferences at any time via the cookie consent banner on our website, or through your browser settings.

9. Data Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. All payment transactions are encrypted and processed by Stripe. Course access is protected by a unique passcode delivered to your email address.

No method of transmission over the internet is completely secure. While we do our best to protect your data, we cannot guarantee absolute security.

10. International Transfers

Some of our third-party service providers (such as Stripe and video conferencing platforms) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place in accordance with UK GDPR, such as standard contractual clauses or adequacy decisions.

11. Children's Privacy

Our products and services are intended for adults aged 18 and over. We do not knowingly collect personal data from anyone under the age of 18. If you believe we have inadvertently collected data from a minor, please contact us and we will delete it promptly.

12. Changes to This Policy

We may update this privacy policy from time to time. The current version will always be available on this page, with the date it was last updated shown at the top. We encourage you to review this policy periodically.

13. Complaints

If you have concerns about how we handle your personal data, please contact us in the first instance and we will do our best to resolve the matter.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113.
